Are you the person we’re looking for?

Secusmart are looking for an experienced Executive Assistant to join the team for a 14 month maternity cover. You will support Secusmart’s two Managing Directors from complex travel arrangement, to inbox and calendar management.

In this role, you will:

  • Be responsible for managing complex travel arrangements across Europe, US and Asia, including:
    • Visa arrangement
    • Route planning and travel coordination to utilize time as effectively as possible
    • Sourcing of best possible pricing
  • Proactive calendar scheduling management
  • Manage inboxes and incoming mail effectively, prioritizing and ensuring all is dealt with correctly
  • Manage expense reconciliation
  • Organize meetings, and assist the Managing Directors in preparing any documents and presentations
  • Meet and greet internal and external visitors at all levels of seniority

You will have:

  • Significant previous assistant experience at a senior level
  • Experience in managing complex international travel
  • Strong Microsoft Office experience, with advanced Excel and PowerPoint
  • Ability to learn processes and technology quickly,
  • An adaptable approach with ability to juggle changing priorities
  • Very strong organizational skills, with exceptional attention to detail
  • Strong verbal and written communication skills, with tact and diplomacy
  • Ability to cope under pressure, and confidence dealing with senior level colleagues and to challenge where necessary
